Payment FAQs

Can I still make payments by Cash or Cheque?

Yes, we are attempting to offer a better service and recognise that for some parents finding chequebooks and writing cheques is a pain. We have no plans at this time to stop accepting cheques, and you can of course still register for emailed invoices and continue to pay ‘offline’.

How does this work for trips and other activities?

Each letter relating to trips and activities will now include a reference number that can be used when making an online payment. If you’d like to continue to pay by cash or cheque, just return payment as normal.

Do You Store My Credit Card Information?

No credit card information is ever stored on our servers, or on the servers of our accounting system (Quickfile).

For Credit and Debit card payments, we use Stripe, one of the most secure and reputable payment processors available. Stripe’s infrastructure for storing, decrypting, and transmitting card numbers runs in separate hosting infrastructure and doesn’t share any credentials with Stripe’s primary services.

For more information, you can visit Stripe’s security policy here. In other words, your credit card details are safe!

For Direct Debit payments we use GoCardless, which is used by thousands of businesses across the UK for access to the Direct Debit system. Payments made through the GoCardless system are covered by the Direct Debit Guarantee, and GoCardless themselves are authorised by the FCA.

More information on the GoCardless security can be found here, and here.

When are CCF subscriptions billed?

Subscriptions are currently billed twice per year, in February and in July. The February billing period is for the Autumn Term, and July for Spring and Summer term.

New cadets starting in the CCF are billed once in their first year, as the initial registration covers the cost of the first billing period.

As of September 2017 we plan on changing the way billing is carried out, moving from in arrears twice per year, to in advance per term. More details will be sent directly to parents soon.

What is Quickfile?

Quickfile is a UK based online accountancy platform. The CCF has implemented the Quickfile system in an attempt to move away from paper based invoicing, and in order to provide easier and less time consuming payment options for Parents. Each cadet is registered in Quickfile, and parents can register their email address to log into the online dashboard.
